Opening Doors and Venues is an independent Professional Conference Organiser specialising in 360° project management that can include venue finding, delegate recruitment and registration, marketing strategy design and the development of creative and engaging content.

They have been working with EventReference since 2014 and have really put the platform through its paces. With a busy events schedule, we grabbed some time with Madalina Marincas to get her take on why EventReference works so well for her event registration requirements.

Why did you choose to work with RefTech and the EventReference platform?

The EventReference platform from RefTech worked perfectly for us at the time when the collaboration started – going back 4 years. A straightforward to use platform, simple to understand both for us and for delegates when booking, and with the added benefit of full access to the back-office – the 'no nonsense' approach or hidden costs was exactly what we were looking for.

We have continued to use EventReference as we feel it has grown with our registration needs. We can still count on the secure, supported registration system, so important in this GDPR era, however the system now accommodates our more complex requirements with integral theme design facilities, payment portals and invoice issuing, web-badging and scanning, customisable content pages etc.

What was your challenge/s?

Small 'hurdles' come to mind going back over the 4 years, but I will highlight a few.

  1. We needed to create the illusion of multi-page temporary microsites for some events which was not necessarily a feature of EventReference at the time, however, we discovered the platform to be customisable enough that with a little bit of creative thinking it could be done!
  2. Another was the need to allow group booking payments and issue group invoices while sending out individual confirmation emails to all those in the group.
  3. Allowing delegates to pick and choose certain courses to attend, in the form of a 'shopping cart', was another challenge we faced along the way.
  4. Butterfly badges were not the easiest to peel and stick together to start with, ripping quite easily. The team was on the case and the new, improved stock is so much better and easy to use! Not a big problem, however it shows how efficiently the team are in tackling any issue!

How do you feel EventReference solved these challenges?

There’s always someone at the end of a phone call or email to advise us and deal with any problems. The team always want to hear what our suggestions are, if we are encountering any hitches or if we have stumbled upon a different way of using the features rather than what they were intended for – great approach to sustainable development.

If we ever raise a question or have a suggestion that is not viable, the team will tell us so, rather than raise our expectations, so we know we can count on full honesty.

What features/services, in particular, successfully addressed your needs?

  • Various things occurred over the years and customisable theme features were introduced to further aid our need to present content pages in a multi-page microsite fashion. It allowed us to customise registration pages per attendee type and in line with client brand to create seamless transitions from a client company website to the conference site/registration portal.
  • The introduction of workflows was crucial in allowing us to send out multiple emails to individuals in group bookings and not only that, we discovered other uses for it along the way that made our processes that more efficient.
  • Introducing and developing the payment portal allowed us to migrate a complex course booking system from a different system that didn't really do the job. We felt that the team took into account our suggestions and created the facility to meet our needs.

What do you love about EventReference by RefTech?

EventReference does what is says on the tin! It is flexible, you can always find solutions to any problem, and there's no 'bedazzling' to confuse the user. Straightforward and 'no-nonsense'.

What if anything didn't go so well and how did we overcome the situation to your satisfaction?

Once, for an early start event that required on-site badge printing, the system collapsed. It wasn't a high-volume traffic event however, we hadn't made a back-up plan on that occasion and it did cause some stress! I was able to get someone on the phone who investigated the problem and kept me informed throughout. The issue was fixed before our delegates arrived.

Would you recommend us and why?

Definitely, and we already have! It must be the right fit however, we know what RefTech brings to the table; not only the reliable system, but the assurance that data is kept secure as well as a great team of people to work with and, in the end, trust with our clients' and delegates' sometimes-sensitive information.
